Faculty Reviews

All faculty must be formally evaluated on their performance once every twelve months to ensure accountability to the University community and the citizens of Arizona. Each annual review shall include one calender year of the individual faculty member's performance, with substantial emphasis on the current year for evaluation of teaching. The unit head's written evaluation shall be shared with the faculty member involved no later than April 30. The faculty member may add written comments to the evaluation before signing it. The signed evaluation shall become a part of the faculty member's departmental records. Faculty Portfolio is the University of Arizona’s online system for faculty annual reviews.

For Tenure Track faculty, a mid-cycle/retention review occurs during the third year and serves as a dress rehearsal for the sixth-year, mandatory promotion and tenure review. Dates for these reviews are outlined in your offer letter at the time of hiring or transferring to the tenure track.

Administrators receive annual reviews from their supervisors, as well as a comprehensive review every five years, which is designed for stakeholders to assess strategic goals and objectives of a department head, director, dean, vice president, or other administrator.

As part of an Arizona Board of Regents (ABOR) requirement, during the post-tenure review process, the dean of each college and his appointed committee review a sufficient number of tenured faculty in order to ensure that over a maximum of five years all tenured faculty are reviewed.

Each year the University of Arizona annually reviews faculty (both UA and Affiliates) in our online system, Faculty Portfolio (formerly UA Vitae). This system allows comprehensive accounting of faculty activities, facilitates accurate reporting for accreditation, academic program reviews and other reporting needs.

The Faculty Portfolio system provides a single and convenient place for faculty members to archive their achievements. It helps make the range and quality of faculty contributions more visible on campus and to the public. The system captures and archives grant-funded research, scholarly impact, and artistic achievements along with service efforts, committee work, and outreach collaborations with schools, businesses, and community partners.

The annual performance review process is defined by this policy in the University Handbook for Appointed Personnel (UHAP). Departments created annual review criteria, which are approved by a majority faculty vote, to be used by all evaluators in that department.

Faculty entering their 3rd year in rank as tenure eligible faculty will be notified by the Office of Faculty Affairs that they are due for mid-cycle review (also called Probationary or Retention Reviews) and it can also be found in the faculty member's letter of offer.  This review is mandatory for all probationary faculty and will provide them with feedback on their accomplishments and suggestions for strengthening their dossier for future consideration for promotion and tenure or continuing status.

Promotion Process Mid-Cycle Review Timeline

  • Faculty due for mid-cycle review must prepare a dossier and CV for promotion following the instructions posted on the website of the Provost for Faculty Affairs.  Be sure to contact your Department P&T Coordinator for the correct forms and guidance. (CV Guidelines are found here)
  • The dossier must contain all materials normally provided by the faculty member when being considered for promotion, except that the department does not need to solicit letters from outside, independent evaluators.
  • The departmental Promotion and Tenure Committee and department head will review the dossier and report the results of their evaluation to the candidate.
  • The dossier will then be forwarded to the Office of Faculty Affairs for review by the College of Medicine – Tucson Committee on Appointments, Promotion and Tenure (AP&T) and the Dean (or designee).  The results of these reviews will be communicated to the faculty member.
  • If the results of the review warrant the need for an interim review prior to the mandatory review year, the department or college AP&T committees, department head or dean may request an additional 4th- or 5th-year review.
  • The mid-cyle review is final at the college level unless the review results in a negative outcome.  In this event, the dossier will be forwarded to the University Standing Committee and the Provost.

Each year, a post-tenure review is completed by the dean of the College of Medicine - Tucson and their appointed committee. They review a sufficient number of tenured faculty in order to ensure that over a maximum of five years all tenured faculty are reviewed. Results are sent to the Office of the Provost in the fall.
